The role is likely to be extended beyond this initial period, however is subject to funding.

The Role (job purpose)

The People, Culture, and Administration Manager is responsible for supporting a dynamic and inclusive “organisational culture” in the Break Free From Plastic coordination team while ensuring efficient operations that create a healthy and stable foundation to support external impact. In this role, you will develop and drive improvements to protocols, processes, and programs with the BFFP coordination teams that embody movement values, and support systems and processes. 

You will work closely with the Global Coordinator, and Team Leads, and those in the BFFP coordination teams to champion shared cultures and values, to build trust, and align the culture and operations with BFFP’s mission, vision, and values.

The role is required to provide both support, collaborate with, and share guidance to geographically dispersed Team Leads and other staff as required.  

While the role predominantly works with the BFFP coordination teams, there may be some work that provides or requires interaction with movement members as the role evolves.

Context

BFFP is a movement of close to 3500 organisations and thousands of individuals, supported by an organically grown coordination team based around the world which operates in matrix management systems. Similar to the broader movement, each team works independently, aligning through the shared movement strategy, and is hosted by different organisations. With this growth in ‘staff capacity’ comes a global team. These require a focus on culture of collaboration over hierarchy, and accountability over micromanagement. 

What success looks like

As a new role, success indications are likely to be phased and often shared with others within the BFFP Coordination Teams, it is expected that the shape of the work will change over time.  

In the first phase this may be: 

  • The development of a People Strategy, aligned with the emerging 10 year revisioning process for the BFFP movement.
  • Initiatives that support the wellbeing of the coordination teams (noting that Wellbeing is the totality of healthy working conditions and culture.) 
  • Alignment and improvements in ‘coordination teams’ processes and protocols, which enhance the alignment of BFFP Movement values.

In the second phase of the role: this may be implementation, in collaboration with others, of the People Strategy. 

Key Responsibilities

People & Culture

In collaboration with, and providing support to, the Global Coordinator,  Team leads, coordination teams, and appropriate fiscal sponsor or host organisation: 

  • Culture Development: Foster a safe, supportive, and inclusive work environment built on trust, ensuring alignment with BFFP’s mission and values while empowering collaboration, open communication.
  • Employee Engagement: Develop initiatives that foster staff well-being, satisfaction, and engagement across teams.
  • Diversity, Equity, and Inclusion (DEI): Champion DEI initiatives, ensuring equitable and inclusive workplace practices.
  • Strategy and Policy Development: Develop a BFFP People strategy and ensure the updating and alignment as possible to manage employee policies and procedures in compliance with legal and fiscal sponsor and host organisation requirements and best practices.

Conflict & Grievance Resolution: Serve as a point of contact for workplace concerns, ensuring effective process towards resolution of conflicts or grievances and consistent application of resolution practices.

Systems (Supporting People & Culture)

In collaboration with, and providing support to, Global Coordinator,  Team Leads, coordination teams and appropriate fiscal sponsor or host organisation.

  • Onboarding/Offboarding: Manage onboarding processes for new employees, ensuring a seamless integration into the BFFP coordination team systems, as well as managing the exit or ‘offboarding’ when necessary, in alignment with internal team’s processes and individual host organisations procedures 
  • Compliance: In collaboration with host organisations, ensure HR policies comply with legal standards, including relevant labour laws, health and safety regulations, and other NGO-specific guidelines
  • Performance Management: Oversee and support coordinating and tracking the performance evaluation process, and pathways for career growth in collaboration with line managers.
  • Employee Development: Maintain systems that support training and professional development initiatives, encouraging continuous learning and growth within the teams.
  • Maintain internal systems: to enable the above to occur including contributions to change management, internal communications and employee feedback. 
Administration Systems

In collaboration with, and providing support to, Global Coordinator, Team Leads, and appropriate fiscal sponsor or host organisation: 

  • Operational Efficiency: Identify and implement improvements in related operational processes and systems to increase impact and efficiency related to People and Culture. 
  • Administrative Support: Oversee administrative duties, including general support that enables team efficiency.   
  • Contract Oversight: Systems that enable monitoring and sharing of relevant contracts landscape within the coordination teams ( people, suppliers, consultants, service providers) in the context of a complex global environment. 
  • Provide support to the Global Coordinator to ensure: 
    • Budgeting and Reporting: Collaborate with the various teams on budget planning, tracking expenses, and preparing reports.
    • Risk Management: Help identify and mitigate risks, ensuring continuity and sustainability.

Fundraising and grant management support: Maintain processes that enable sound grant management and fundraising opportunities.

Key Relationships

This role will need to be able to maintain a range of different relationships - many which will be remote and online, some that will be ‘internal’ and some that are key target audiences. The nature of this role requires strong relationships and collaborations with a range of stakeholders. 

  • BFFP Global Coordinator and global coordination team
  • BFFP Team Leads and BFFP Coordination team members
  • Fiscal sponsors or host organisations
  • BFFP Member support groups (eg Steering Committee, Regional Support Forums) 
  • Consultants, Suppliers and contractors

Person Specifications: Knowledge, Skills and Experiences

Essential

Experience: 

  • 5-10 years of experience in, people and processes management, culture development, or operations, ideally in the nonprofit/NGO sector.
  • Proven ability to develop and implement global people strategies across multicultural and multi-geographic settings.
  • Skilled in conflict resolution across diverse cultures, contexts and locations. 
  • Experience in design and implementation of employee  programmes. 
  • Experience in fundraising, grant management, accounting, project management, and engaging multiple stakeholders.

Skills:

  • Knowledge of HR and/or organisational development best practices with global team experience.
  • Proven track record in building organisational culture and boosting employee engagement.
  • Skilled in managing operations and improving efficiency.
  • Excellent communication and interpersonal skills.
  • Able to work independently, handle multiple tasks, and adapt to shifting priorities.
  • Strong facilitation, administration, budgeting and planning skills.
  • Flexible and adaptable, working across diverse cultures, contexts, and time zones daily.

Desirable:

  • Education: Minimum Bachelor’s degree in Human Resources, Business Administration, Organisational Development, or related field.
  • Our working language is English so fluency is required, additional languages are desirable 
  • Experience with Break Free From Plastic or similar movements.
